Wildlife Photography Competition - Terms & Conditions

Have you got the skills to capture a stunning scene in nature? Do you know how to get the perfect angle of a bird in flight?

In honour of our upcoming Green Week, we have an amazing opportunity for all you photographers. It's time to promote sustainability and wildlife on the our campus by sending us your photos. This can be on any part of the University of Roehampton campus, as long as it involves nature.

 


1. About the Competition 

1. The Wildlife Photography Competition ("the Competition") is run by the Students’ Union to promote sustainability and wildlife on the Roehampton Campus.  

2. Any contact with us regarding the Competition should be via the email address: rsu@roehampton.ac.uk 

3. The Competition is open to all students at Roehampton.  

4. Photographs submitted to the Competition must be of wildlife taken at any University of Roehampton campus. Photographs taken outside of these locations will not be accepted. 


2. Entry to the Competition 

1.  Entries must be received by 23:59GMT on the night of 22 March 2026("the Closing Date"). 

2. The Competition is open to all students at the University of Roehampton.  

3. Entry to the competition is free. Participants can submit a maximum of 5 photographs.  

4. By submitting an entry to the Competition, you agree: 

(i) to abide by the Rules and ensure that your entry complies with the Rules; 

(ii) to maintain the highest standards in all matters relating to the Competition; and 

(iii) ensure that ethical requirements and standards are met.  

5. All entries must be of non-captive wild animals, plants, fungi, landscapes and habitats.  

6. All entries must be your own photograph(s). These can be taken on any image capturing device such as a camera or mobile phone.  

7. You are not permitted to submit photographs that: 

(i) feature farm animals, family pets, and/or cultivated plants and fungi; 

(ii) are AI generated; 

(iii) breach any of the ethical obligations or photograph specification requirements set out below or Photograph Specification requirements; 

(iiii) involve any interference, baiting, capturing, or any means of attraction. 

8.  Any entry found not to comply with the Rules at any stage of the Competition may be disqualified. No allowances will be made in the event of disqualification, and any unreceived prizes will be forfeited, and you must return any prizes you have received within 14 days. Where an entry is disqualified, we reserve the right to confirm the entry was disqualified in response to any enquiries. If a breach has occurred, but is discovered after an award, then we may withdraw the relevant entry from any of the Exhibitions and/or related activity and require the return or reimbursement of any prize already received. Any decision of ours relating to the Competition is final and binding. No negotiation will be considered, and we will not enter into subsequent correspondence regarding such decisions. 

9. We reserve all rights to disqualify your picture if your conduct is contrary to the spirit or intention of the Competition, the Students’ Union, Green Week or the University. 


3. Ethical Requirements 

1. Any breach of these Ethical Requirements below will constitute a breach of the Rules. 

2. Your photographs must report on the natural environment at Roehampton University in a way that is creative, honest and ethical: 

(i) entries must not deceive the viewer or attempt to disguise and/or misrepresent 
the reality of nature; 
(ii) caption information supplied must be complete, true and accurate (see section 4.1) 
(iii) photographs must not portray captive, restrained, manipulated animals, animal models, taxidermy animals, and/or any other animal being exploited for profit.  

3. You must not do anything to injure or distress an animal or damage its habitat in an attempt to secure a photograph. This includes, but is not limited to, flying (or flying a drone) too low or noisily over an animal; using artificial lighting in a way that may distress, endanger or blind a subject; and taking photographs at nests or dens using wide angle lenses although telephoto lenses are permitted. An animal’s welfare must always come first. 

4. You are responsible for adhering to University of Roehampton and Roehampton Students’ Union’s policies, as well as ensuring full compliance with any environmental legislation.  

5. Photography involving any interference, or baiting (including luring with food/feeders, scent, sound) or any means of attraction is banned. To clarify, entries must have been taken in natural situations without interference by the photographer or anyone else. 

6. If we suspect that an entry has been achieved through adverse or unethical practices or in any way in breach of these Rules, the entry will be disqualified. 


4. Photography Specifications 

1. Photographs must have been shot within the past 3 years. The capture date must be after 1 March 2023 and evidenced on request. 

2. Your entry must be uploaded to our Competition Form here in JPEG format.  

3. Photographs must be submitted as JPEGs, saved at a high-quality setting and size. The Jury will not consider photographs that have borders, watermarks or signatures. 

4. For the avoidance of doubt the following digital adjustments are not permitted: adding, moving or removing objects, animals or parts of animals, plants, people etc; the removal of dirt, highlights, backscatter, bubbles, debris and similar; composites; painting the foreground / painting out the background or AI generated photographs or images. Your entry should not include any new image content to the photograph through manual or AI intervention.  

5. Any photos found to be edited with non-permitted adjustments will be disqualified 

6. All photographs must include a short description (maximum 200 words) of your image: 

  • Provide a title for the photo 

  • Identify the species which is the focal point of the photo 

  • Why the photograph is meaningful  


5. Judging, Awards, and Prizes 

1. A panel of experts comprising a chair and judges ("the Jury") will be appointed by RSU to shortlist and exhibit approximately 10 entries from the competition for students to vote on.  

2. The Jury will consider the photographs according to judging criteria: 

(i) entries must follow all ethical requirements and rules 

(ii) photographs will be judged on originality and narrative 

(iii) Narrative of images can include, but are not limited to: 

  • A portrait of an animal in its natural habitat, displaying how the species fits into its environment and ecosystem.  

  • An animal displaying any intriguing behaviour (e.g., a heron fishing at the lake) 

  • Plants and fungi – photographs could display how these organisms play a role within the environment or how they are adapted for survival or their habitat.  

  • Photojournalism – telling a story about the species or organism you are photographing. We encourage you to also explain your photojournalism entry in the description of your photo.  

3. All entries will be displayed in a digital gallery on the Students’ Union website during the competition.  

4. Students can vote on shortlisted entries through the Students’ Union website or via tablets in the Hive Cafe  

5. Voting will be open at 08:00 on 24 March 2026 and close 16:00 on 27 March 2026  

6. If you are shortlisted, you will be notified by email with the address you provide on your entry form.  

7. The winner of the competition will be contacted by email by the address provided on their contact form.  

8. The prize list will be available on the Students’ Union website, alongside the terms and conditions for the competition prize.  


6. Publicity  

1. By submitting your entry, you agree that if you are shortlisted or a winner, your photograph will be used in Students’ Union publicity. This may include physical and digital publicity. You also agree that your name will be used on any advertising or promotion of your entry or the competition itself.  

7. Data Protection  

1. All data collected in the competition will adhere to the Students’ Union privacy notice.  


8. Prize List 

1. First Prize – Annual Membership to Wildlife and Wetlands Trust, Guest ticket to London Wetlands Centre, and a meal voucher for two persons. 

2. Second Prize – Lunch for two at The Hive 

3. Third Prize – Breakfast or Afternoon Tea at The Hive 


9. Terms & Conditions 

1. The prize draw (the "Prize Draw") is open to people attending the University of Roehampton who are verified via the Roehampton Students’ Union database. 

2. Permanent employees of the Students’ Union ("RSU", "We"), or anyone else connected with the competition may not enter the competition. 

3. Entrants into the competition shall be deemed to have accepted these Terms and Conditions. 

4. No entrant may win more than one prize. 

5. No purchase is necessary to be included in the competition. 

6. If you have any questions about how to enter, or in connection with the competition, please e-mail us at rsucomms@roehampton.ac.uk with "Wildlife Photography Competition” in the subject line. 

7. Only one entry per person, with a maximum of 5 images per entry. Entries on behalf of another person will not be accepted, and joint submissions are not allowed. 

8. RSU accepts no responsibility for entries that are lost, delayed, misdirected or incomplete, or cannot be delivered or entered for any technical or other reason. Proof of delivery of the entry is not proof of receipt by RSU. 

9. The closing date of the competition is 23:59 on Sunday 22 March 2026. Entries received outside this time period will not be considered. 

10. The winners will be notified by email on or before Tuesday 31 March 2026.  If a winner rejects their prize or the entry is invalid or in breach of these Terms and Conditions, the winner's prize will be forfeited and RSU shall be entitled to select another winner. 

11. The prize is non-exchangeable, non-transferable, and is not redeemable for other prizes. 

12. RSU retains the right to substitute the prize with another prize of similar value in the event the original prize offered is not available. 

13. The winner may be required to take part in promotional activity related to the competition and the winner shall participate in such activity on RSU's reasonable request. The winner consents to the use by RSU and its related companies, both before and after the closing date of the competition for an unlimited time, of the winner's voice, image, photograph and name for publicity purposes (in any medium, including still photographs and films, and on the internet, including any websites hosted by RSU and its related companies) and in advertising, marketing or promotional material without additional compensation or prior notice and, in entering the competition, all entrants consent to the same. 

14. RSU accepts no responsibility for any damage, loss, liabilities, injury or disappointment incurred or suffered by you as a result of entering the competition or accepting the prize. RSU further disclaims liability for any injury or damage to your or any other person's computer relating to or resulting from participation in or downloading any materials in connection with the competition. Nothing in these Terms and Conditions shall exclude the liability of RSU for death, personal injury, fraud or fraudulent misrepresentation as a result of its negligence. 

15. RSU reserves the right at any time and from time to time to modify or discontinue, temporarily or permanently, this competition with or without prior notice due to reasons outside its control (including, without limitation, in the case of anticipated, suspected or actual fraud). The decision of RSU in all matters under its control is final and binding and no correspondence will be entered into. 

16. RSU shall not be liable for any failure to comply with its obligations where the failure is caused by something outside its reasonable control. Such circumstances shall include, but not be limited to, weather conditions, fire, flood, hurricane, strike, industrial dispute, war, hostilities, political unrest, riots, civil commotion, inevitable accidents, supervening legislation or any other circumstances amounting to force majeure. 

17. The competition will be governed by English law and entrants to the competition submit to the exclusive jurisdiction of the English courts.
